How we operate · demo for the DevDay Exchange Community Hackathon 2026, Miami

One room per job, one agent per room.

Tidepath Family Alliance is a made-up nonprofit with seven staff roles, all played by one operator, Alex. It runs as a private server on Roomcord. Each staff process has its own room, and each room has a specialist AI agent. Agents draft, count and route. Alex approves every merge, outbound message and funder submission.

The full demo. One operator runs a made-up Miami nonprofit on Roomcord: nine rooms, one AI agent per job, a person approves every step.

The rooms.

Each room holds one staff process and its agent. The public forms portal and the website feed the rooms. The People CRM holds every record once.

Each problem, in under 30 seconds.

The six problems come from the hackathon challenge, based on a survey of 14 South Florida nonprofits.

  • P1 · Programs and mentoring. Kids who miss sessions get a call the same week, with a follow-up drafted in the family's language.
  • P2 · Fundraising. Duplicate donors are found with reasons, and a late or failed regular gift shows up in time to call.
  • P3 · Workshop requests. A school's request becomes a confirmed workshop with one reply for every missing detail and approved slides.
  • P4 · Counseling (restricted). A counselor writes the note once. The funder gets only its required fields, and every send is logged.
  • P5 · Volunteers. A volunteer's phone check-in becomes logged hours, counted once, and an urgent need reaches staff the same day.
  • P6 · Grants and finance. Grant drafts use only approved, sourced facts, and spending is tracked by category in each funder's year.

  • The forms portal. Volunteers, parents and schools use public forms on a phone, with no login.
  • People CRM. Staff review records and approve merges in the People CRM room app.
  • How it is built. The flavors, skills and demo data are open source on GitHub.

Example: the same donor on three lists.

In the Fundraising room, the agent finds the same donor across separate gift lists, shows why the records match, and merges only after staff approve. Every gift stays attached. Sample data.

The rules.

Agents draft. A person decides.

  • A person approves every merge, message and funder submission.
  • No giving history or attendance record is ever deleted.
  • No WhatsApp scraping. Agents read only messages that volunteers send on purpose, or chats exported with WhatsApp's Export chat option.
  • Made-up data only. The counseling flow is not a HIPAA-approved system.
